Overview

The Order Administrator I is responsible for accurate and timely order validation and processing of complex government orders that are shipping local and nationwide to government customers required within an established turnaround time.  This requires review of various federal, state and local government contracts to ensure compliance. The person in this position will maintain full knowledge of all aspects of the order processing process and assist lead and supervisors with creation and maintenance of department team processes.
 
 
This position is full time and offers a hybrid work schedule requiring you to be in the office Monday and Wednesday and an option to work from home the remainder of the week (unless a specific business need arises requiring in office attendance on other days).  Note that work schedules and office reporting requirements may change from time to time based on business needs.

Responsibilities

- Responsible for order management processes which include order validation, order entry, customer requests, and preparing documentation.
- Complies with all required credit, dealer and distribution requirements.   
- Processes renewals for sales/services which requires review of current contract requirements and validation of new documents for compliance and accuracy based on the contract listed. 
- Researches and resolves customer inquiries of a complex or sensitive nature, communicating with multiple internal and or external resources to resolve and communicate results to customer and internal stakeholders. 
- Prepares and tracks modification requests which are to correct purchase order discrepancies.  This includes sending letters, tracking responses, and follow-up with the government to meet prescribed turnaround times. 
- Validate orders against contract terms.
- Communicate with customer to comply with contract provisions.
- Prepare reports.
- Receive, research and respond to customer inquiries (order status, sales person, date of delivery).
- Coordinate with service providers on order processing.
- Coordinate with Canon Financial Services group for equipment leases.
- Facilitates the affairs of a work unit or department. 

Qualifications

 
- Typically requires general education and/or vocational training but little to no experience.
- Strong customer service experience/experience in the Government sector is helpful
- Requires excellent oral and written communication skills
- Experience in contract administration helpful
- Basic Excel experience required
- Data entry experience required
- Familiar with procurement or prior buying experience, preferred
 
We are providing the anticipated hourly rate for this role: $16.20 - $23.47
 
The Company will not pursue or support visa sponsorship for this position.
